HARVEY MEDIA & COMMUNICATIONS is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.

What is Personal Information and why do we collect it?
Personal information is information or an opinion that identifies an individual. The types of personal information HARVEY MEDIA & COMMUNICATIONS may collect include your Full Name, email address, phone number, and any other details you choose to share when contacting us or booking a meeting. Additionally, when you submit a testimonial or feedback through our website form, we collect your Full Name, the content of your Testimonial (from 'What would you like others to know about your experience?'), and your Feedback (from 'How could I improve?').
This information is collected:
When you book a meeting through our website (via a third-party service, Calendly)
When you contact us by email or phone
During meetings or consultations, where notes may be taken to understand your needs
Via our website testimonial/feedback form, which is built on Framer, with submissions sent directly to our email.
We collect this information for the primary purpose of:
Responding to your enquiry
Providing service recommendations or preparing proposals
Maintaining client records
For Testimonial submissions (Full Name and Testimonial content): Potentially publishing on our website and/or our personal professional profiles (e.g., LinkedIn), only if you provide explicit consent to do so.
For Feedback submissions ('How could I improve?'): Solely for internal use to improve our services and offerings.
We do not use Testimonial or Feedback information for direct marketing purposes. You are not required to provide any personal information when browsing our website. If you choose to get in touch, any information you share is voluntary.
Sensitive Information
Under the Privacy Act 1988 (Cth), “sensitive information” includes details about an individual's racial or ethnic origin, political opinions, religious beliefs, trade or professional memberships, criminal record, or health information.
HARVEY MEDIA & COMMUNICATIONS does not collect sensitive information through our Calendly booking system. We do not request or require any sensitive personal information when you contact us or book a meeting.
While we generally do not collect sensitive information through our website, you may voluntarily include sensitive details within your testimonial or feedback text. If you choose to do so, this information is considered to be provided with your explicit consent for the stated purposes (publication or internal improvement), in line with our general policy on handling sensitive information.
If, while working together, sensitive information is shared with us (for example, during a meeting or intake process), it will only be collected:

For a clearly stated purpose that relates directly to the services we provide, and
In compliance with the Privacy Act and any applicable ethical guidelines.
We do not store or retain sensitive information unless it is necessary and permitted by law.
Third Parties
We collect personal information directly from you. Currently, HARVEY MEDIA & COMMUNICATIONS does not collect personal information about you from other individuals or organisations.
If this ever changes, for example, if you authorise someone else to share information with us on your behalf, we will take reasonable steps to confirm your consent and ensure that you’re aware of what’s been provided.
Disclosure of Personal Information
We do not share your personal information with third parties unless you have given clear consent, or we are required to do so by law. In rare cases, we may disclose personal information:
If you request or authorise us to refer you to a partner (e.g., for design or digital services).
If we are legally obligated to comply with a request (e.g., under Australian law).
When you provide explicit consent to publish your Testimonial (including your Full Name and testimonial content) on our website or professional profiles (e.g., LinkedIn). Your 'How could I improve?' feedback will never be publicly disclosed.
We do not sell, rent, or trade personal information under any circumstances.
Overseas Recipients: As part of securely storing your information, including testimonial and feedback submissions, in Notion, your data may be transferred to and stored on servers located outside of Australia. We ensure that appropriate safeguards, such as EU Standard Contractual Clauses (SCCs) or UK International Data Transfer Addendum (IDTA), are in place with our service providers to protect your information during these overseas transfers, aligning with Australian Privacy Principle 8 (Cross-border disclosure of personal information).
Security of Personal Information
We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and from unauthorised access, modification, or disclosure, in line with Australian Privacy Principle 11 (Security of personal information). This includes secure storage of email communications, password-protected cloud files, and the use of trusted third-party services (such as Calendly and Notion for all form submissions and internal client records) with privacy protections in place.
We only keep personal information for as long as it is needed to deliver services, respond to your enquiry, or fulfil the purposes for which it was collected (e.g., potential testimonial publication). When that information is no longer required, it is securely deleted or de-identified. As a small business, we do not operate physical file storage systems and do not store health or financial data.
Access to your personal information
You have the right to access the personal information we hold about you and to request corrections if it is inaccurate, incomplete, irrelevant, or misleading, in line with Australian Privacy Principle 12 (Access to personal information) and Australian Privacy Principle 13 (Correction of personal information).

To protect your privacy, we may need to verify your identity before releasing or amending any information.
Maintaining the quality of your personal information
We aim to keep your personal information accurate, up-to-date, and complete, having regard to the purpose for which it is used or disclosed, in line with Australian Privacy Principle 10 (Quality of personal information). If you believe the information we have is incorrect, outdated, incomplete, irrelevant, or misleading, please let us know and we will make the necessary updates as soon as we can. If we refuse your request to correct information, we will provide you with a written notice outlining the reasons for the refusal and the mechanisms available to you to complain about the refusal. You may also request that we associate a statement with the information noting that you believe it is inaccurate, out-of-date, incomplete, irrelevant, or misleading.
Policy updates
This privacy policy may be updated from time to time. The most current version will always be available on our website. If the changes are significant, we will make reasonable efforts to let you know.
Data collected on behalf of research clients
HARVEY MEDIA & COMMUNICATIONS occasionally supports ethically approved research studies by collecting information from potential participants on behalf of the research team. In these cases, the study team remains the data custodian. Any information collected is handled in accordance with their approved protocol, ethics approval, and participant information materials. We do not use this data for any other purpose. A separate privacy notice will be provided for each study.
